Work Package 1: Establishment of project management and coordination structures
T1.1 Kick off meeting At kick-off meeting, the suggested management structure will be adopted by SC members. Action plan for Quarterly project timeline will be prepared.
T1.2 Establishment of all management structures The Project Coordinator will be in charge of the project's overall management, with contact persons in charge of local coordination. The Manual for Contractual Obligations that will outline and define the steps for effective contractual and financial implementation of the project, will be created by the Project Coordinator and PST team. The templates for supporting documents will also be included.
T1.3 Preparation of progress report Progress report will be prepared and delivered
T1.4 Establishment of online Project management tracking system The Applicant institution will set up a document versioning system for the online project management tools. These will be built upon the two most widely used Web 3 systems, Git and ClickUP
T1.5 Online training of the Project management team on the basics of Online versioning systems and project management tools Applicant will organise training for PST in which they will be trained in usage of established online Project Management System and Document Versioning System.
T1.6 Steering committee meetings In the Steering Committee, the partner organization will report project activities on a quarterly basis, discuss risk mitigation, and create an action plan for the upcoming quarterly period.
Partner organizations will also deliver a report on the WP, activities, and tasks that have been done.
T1.7 Report preparation and delivery The completion of all quarterly progress reports will be timely. They will also contain an action plan for the upcoming quarterly term and a thorough summary of all project goals that were met.
The final report on project activities will include a general project summary.
T1.8 Keeping track of the project's technical and financial implementation progress During project implementation complete documentation for all financial and technical progress will be submitted on timely manner in line with adopted Quality policy.
Work Package 2: Establishment of Project Development Offices
T2.1 Conduct a needs assessment at BiH and MNE beneficiaries Three needs assessments will be conducted for BiH and MNE partners in order to identify level of capability for project management and possible areas for improvement
T2.2 Good practice analysis Analysis of organizational best practices, roles and responsibilities of project preparation and implementation of project management offices in programme countries
T2.3 Study visit SUNP Presentation of of organization, practices, roles and responsibilities of project preparation and implementation of project management offices, at SUNP.
T2.4 Development of policies and development to guides for the operation and management of the Project Management Offices Set of policies and procedures will be developed to guide the operation and management of the Project Management offices, for each partner in BiH and MNE.

Work Package 3: Establishment of Student Innovation Hubs
T3.1 Conduct a needs assessment at BiH and MNE beneficiaries Four needs assessments will be conducted for BiH partners in order to determine their current innovation management practices and identify areas for improvement
T3.2 Good practice analysis Analysis of organizational best practices, roles and responsibilities of innovation management
T3.3 Study visit UNIBA Presentation of of organization, practices, roles and responsibilities of project preparation and implementation of project management offices, at UNIBA.
T3.4 Preparation of Student Innovation Hub design plan, and purchase of equipment Design for potential locations for the Student Innovation Hubs based on accessibility, facilities, and resources available and purchase and installation of needed equipment.
T3.5 Development of policies and development to guides for the operation and management of the Student Innovation Hubs Set of policies and procedures will be developed to guide the operation and management of the Student Innovation Hubs for each partner in BiH and MNE.
T3.6 Initial trainings of Student Innovation Hubs staff Staff members who will be responsible for managing the student innovation centers will be trained in best practice of the management and leading Innovation hubs.
T3.7 Offical establishment and launch of Student Innovation Hubs Establishment of the Project Management Offices
Work Package 4: Capacity development in topics of project and innovation management.
T4.1 Project management trainings based on the Logical Framework approach The logical framework approach is a structured method for defining, planning and monitoring projects, which emphasizes clear goals, assumptions, and expected outcomes. The aim of this training is to help participants develop and implement effective project management practices using the logical framework method.
T4.2 Innovation management trainings Trainings will be be designed to foster collaboration, provide access to resources and support, and encourage entrepreneurship and innovation.
Work Package 5: Implementation of new Digital and IT tools practices in all above-mentioned actions
T5.1 Conduct a technology audit The purpose of a technology audit is to assess the current technology infrastructure of an organization and identify areas for improvement. The objective is to ensure that the technology being used supports the goals and objectives of the organization, is efficient and effective, and meets industry standards and best practices
T5.2 Study visit UPM Study visit should provide a comprehensive view of the organization's technology infrastructure and the practices it uses to manage it, to identify best practices and areas for improvement.
T5.3 Develop a technology plan Preparing plan of future implementation of state of the art digital solutions.
T5.4 Web 3 trainings Overall, Web 3 technologies can provide new and innovative ways to manage innovation and support the development of new products and services. By leveraging the security, transparency, and decentralization of Web 3, organizations can create more efficient and effective innovation management processes, and foster a culture of innovation and collaboration
T5.5 AI trainings Artificial Intelligence (AI) can play a significant role in project management, by helping organizations to automate and optimize key processes, improve decision-making, and increase efficiency. Some of the ways AI can be used in project management include:

Work Package 7: Dissemination and exploitation
T7.1 Raise of awareness of project implementation Project partners will be actively engaged in PRODIGY-E promotion at various events organized within similar initiatives and projects by organisations outside the Consortium at national, regional and international level.
